Miles Up Privacy Policy

Miles Up helps organizations manage work mileage and reimbursement. This policy describes the information used by the app and its company service.

Account and mileage information

We store your name, account email, organization membership, and a protected password hash. Mileage records include the date, starting place, ordered intermediate stops, destination, miles, client or project, business purpose, reimbursement rate, and approval status. If your company requires odometer readings, we store the starting and ending readings and calculate miles from their difference. Company administrators decide whether approval, business purpose, and client or project are required. Your company administrators can see company mileage and employee account details. Employees can see their own mileage records.

Company administrators can save project names, addresses, and the coordinates of selected Maps addresses. These projects are shared only with members of that organization. Submitted drives retain the linked project identifier and written details from submission even when a project is later edited or archived. Company deletion removes these project records.

Optional location

You may attach your phone’s current location to a drive. Your phone’s current location is collected only when you request a location tag. Miles Up does not track your location in the background or record driving routes.

Address suggestions and distance estimates

As you type a starting place or destination, the app sends your search text to Apple Maps for address and place suggestions. Selecting both stops sends the chosen locations to Apple Maps to estimate a driving distance. This does not request your phone’s current location. You choose whether to use the estimate and can change the miles before submitting. Miles Up stores the written trip locations and submitted miles, not the suggested route or its geometry.

Invitations

Administrators enter a teammate’s name to create an invite code. They choose the recipient and send the invitation through their own messaging or email app. Miles Up does not send invitation messages.

Subscriptions

Apple processes subscription payments. Miles Up does not receive your card information. We use Apple transaction identifiers, plan details, and subscription status to provide access to your organization. The organization owner pays; invited employees are covered by the organization.

Password recovery

If you request a password reset, we use your account email to send a one-time link through Amazon SES. The link expires after 30 minutes. We store a hash of the reset token and hashed request counters to limit abuse. Resetting your password closes existing sign-ins without deleting your company or mileage. Reset records are removed after successful use or account deletion.

Feedback

When you press Send feedback, your name, email address, and comments are sent to the Miles Up team using Amazon Simple Email Service (SES). We retain the submission and delivery status to review suggestions, respond, and avoid duplicate messages. Your feedback is not published or included in company mileage reports.

Storage and service providers

Account and mileage data are stored on our HTTPS service hosted on Amazon Web Services. Apple provides payment processing and maps. AWS processes feedback and password-reset email delivery. We do not sell your information or use it for advertising.

Support and security

Our public support form collects the name, email, and message you provide and sends them privately to our team through Amazon SES. It stores a delivery record and a hash of your network address to limit spam. Our server may retain ordinary access logs, including network addresses, request paths, times, and status codes, for security and troubleshooting. We do not use this information for advertising or cross-app tracking.

Drive reports

You can export the drives visible to your account as a CSV or PDF report, including the currently selected filters, stop details, and any odometer readings or location tags. Export files are generated on your device. You choose where to save or share them using the device share sheet; Miles Up does not send these reports automatically.

Retention and deletion

We retain account and mileage data while your account is active. You can permanently delete your account in Company or Account → Delete account, by typing DELETE and confirming the final deletion alert while signed in. An employee’s deletion removes their account, mileage, saved location tags, and stored feedback records. Company-owner deletion removes the company, all team accounts, mileage, invitations, rates, billing records, and database feedback records. Export any records you need first. Account deletion does not cancel an Apple subscription; cancel separately in Apple subscription settings to prevent future charges.

Public support requests matching your verified account email are removed when you delete that account. Previously delivered support emails, security logs, and company-exported reports are separate copies. Contact us about access, correction, or removal of support copies. Your company controls any reports it has exported.
